Overview

InstantGate's QR code scanner validates tickets using your device's camera. The scanner requires an active internet connection and works with any modern mobile device or tablet. Each scan validates one ticket at a time.

How to Access the Scanner

  1. From the event dashboard: Open your event in the console, then click the Scanner tab.
  2. Direct link: Navigate directly to /qr.html?eventId={eventId} on any supported device.

Adding Scanner Operators

  1. Create an account: Have the team member sign up for a InstantGate account.
  2. Share event access: From your event dashboard, go to Settings and add their email to grant access to the event.
  3. Access the scanner: They can then access the scanner using the direct link /qr.html?eventId={eventId} or through the event dashboard.

Note: Scanner access is available to all users who have access to the event. The Advanced tab in event settings is only available to event creators/owners.

Scanning Process

How Scanning Works

  1. Launch the scanner from your event dashboard or use the direct link.
  2. Grant camera permissions when prompted by the browser.
  3. Position the attendee's QR code in front of the camera.
  4. The scanner will automatically detect and validate the ticket.

Ticket Validation States

✅ Valid Ticket

  • A green checkmark confirms acceptance.
  • Ticketholder details display for quick verification.
  • The ticket is marked as used across your event.
  • An optional success sound or toast confirms completion.

❌ Invalid Ticket

  • A red error icon explains why the scan failed.
  • Common causes include already-used tickets, tickets tied to another event, blocked or refunded tickets, or unreadable QR codes.

⚠️ Warning States

  • Already scanned: The ticket was validated earlier.
  • Blocked ticket: The organizer prevented entry.
  • Refunded ticket: The ticket was refunded and cannot be reused.

Scanning Modes

Standard Scanning Mode

  • The scanner validates one ticket at a time.
  • Each scan provides immediate feedback on ticket validity.
  • Suitable for events of any size with proper staffing.

Best Practices

Camera Setup

  • Keep lighting bright and even for reliable recognition.
  • Hold the device steady roughly 6–12 inches from the QR code.
  • Clean the device lens to prevent blurred scans.
  • Test the scanner before attendees arrive.

Network Requirements

  • Keep an active internet connection—the scanner does not run offline.
  • Stabilize Wi-Fi or cellular coverage at each entrance point.
  • Monitor connectivity so each scan syncs immediately.

Device Recommendations

  • Modern iOS or Android smartphones with high-quality cameras.
  • Tablets for shared use by multiple staff members.
  • External QR scanners paired with laptops for peak crowds.

Troubleshooting

QR Code Not Scanning

  • Adjust lighting or avoid glare on printed tickets.
  • Wipe the camera lens and remove smudges.
  • Move the device closer or farther until the code is sharp.
  • Ensure the camera has focused before attempting another scan.

Validation Errors

  • Confirm the event ID matches the ticket's event.
  • Ensure the ticket was issued for this event specifically.
  • Check whether the ticket has already been used.

Performance Issues

  • Close unused apps to free device memory.
  • Restart the scanner interface if lag persists.
  • Verify Wi-Fi or cellular connectivity.

Advanced Features

Scan Analytics

  • View basic scanning statistics in your event dashboard.
  • Track total scans and basic entry patterns.
  • Monitor which tickets have been validated.

Export Data

  • Export scan logs from your event dashboard.
  • Download attendee lists for record keeping.

Security Considerations

  • Validate tickets against the current event only.
  • Prevent duplicate scans by marking tickets instantly.
  • Synchronize devices in real time for accurate counts.
